How do I get a student organization account in NB/P?

Student organizations are often interested in obtaining computer accounts. Student organization accounts should provide a constant address for email, web pages, as well as other needs and allow the staff of an organization to work on these projects together.

Upon official notification by a governing body of the University (subsequently referred to as the Official Sponsor), NBCS will create and remove Student Organization Accounts. A Student Organization Account is a single computer account whose members are individual users with existing computer accounts on eden.

Student Organizations Accounts provide the following facilities:

  • A single account with default disk storage quota to be used by a group of users
  • Group web pages
  • A virtual hostname for the web site, if specifically requested *
* Note: A virtual hostname for the stu org site can be requested after the new stu org account has been setup. The stu org should contact help@eden for more info via email from their new stu org account. An eden virtual hostname can be used to abbreviate a stu org's URL, example: stu org account "rucricket" uses virtual hostname http://www.rucricket.rutgers.edu instead of http://www.eden.rutgers.edu/~rucricket.

The role of an Official Sponsor:

The Official Sponsor will be responsible for changes in membership and "abuse" handling for each of the groups they sponsor. Each sponsoring individual or organization (i.e. a Dean or Student Activities Board) must supply:

  • An administrative contact, which is a single staff member who is the official contact for issues associated with account maintenance of groups being sponsored. Account maintenance entails adding and removing members of groups and defining to NBCS new groups to be created. This person must have an rci or eden account.
  • A contact for cases of abuse that will be responsible for answering technical problems.

The following information is needed for each contact person:

  • full name
  • office address
  • email address
  • phone number(s)

If either the administrative contact or the contact for cases of abuse needs to change, the Official Sponsor is responsible for communicating that information to NBCS using the format listed immediately above.

Valid Official Sponsors:

Student Organization Accounts are for student organizations that receive funding from the University. Below is the official list of approved groups that provide sponsorship for the various Eden student organizations. Student organizations should contact an official sponsor that they are affiliated with, usually through their source of funding.
  1. Rutgers Student Activities Board (RSAB)
  2. Livingston Student Organization (LSO)
  3. Cook College Office of Special Events & Programs (CCOSEP)
  4. Fraternity and Sorority Affairs (FSA)
  5. Douglass College Student Activities Office (DCSAO)
  6. Graduate Student Association (GSA)

Costs:

There are currently no fees associated with this service.

Getting Started:

Previous to any Student Organization Accounts being created, an official sponsor needs to provide the information to NBCS listed in the section above, The role of an Official Sponsor.

Once the Sponsor information has been communicated to NBCS, the process of requesting a Student Organization Account typically begins with an officer from the student organization submitting an application to the sponsoring organization or individual (Official Sponsor) for approval. The Official Sponsor will verify that the organization is a student organization officially recognized by Rutgers University and that the applicant is listed as an officer of the organization. After certifying the application, the Official Sponsor will need to use the following online form to submit the request:

Note that hard copy forms can no longer be faxed.

All users added to Organization Accounts must already have an account on eden. If need be, students can create an account on eden using the normal account process at http://www.eden.rutgers.edu/rats/rats.cgi. Any faculty or staff member who needs to be included in the Student Organization Account must make a special request for a guest account on eden via help@eden, and must already have an RCI account.

Changing Who Has Access to the Account

When a student organization needs to change the list of students with access to the account, it is the administrative contact who does it. The administrative contact is normally a staff member in a student activities or dean's office. The president of the organization should know who their contact is. However if necessary, help@eden can find out the contact who is responsible for a given organization.

Organization Account Suspension

Access to the Student Organization Account will be suspended under the following conditions:

  • Upon request of the Official Sponsor.
  • Upon violation of the University's Code of Student Conduct or of the Acceptable Use Policy for Computing and Information Technology Resources, available at http://oit.rutgers.edu/acceptable-use.html
  • At the direction of a Judicial Affairs Officer of the University or other appropriate official.

The Official Sponsor will be notified of the Student Organization Account suspension as soon as possible.

An individual student who loses access to eden either by leaving the University or by a violation of the Acceptable Use Policy will also lose access to the Student Organization Account, whether or not the violation was related to the Student Organization Account.

In order to suspend an account, the Official Sponsor should contact root@eden or call the NBCS operator at (732) 445-2293 with:

  1. name of the account
  2. brief description of why

The Official Sponsor will be responsible for notifying NBCS personnel via the same mechanisms when the suspension should be lifted.

Organization Account Termination

NBCS personnel will conduct an annual audit of Student Organization Accounts at the end of the spring semester.
